8 Ways to Reduce PDF File Size

Have you created a PDF but it is very large? Are there too many documents on the media and they take up a large amount of memory? Need to send a message, but the document is too large and its loading takes a lot of time, or is it not possible at all because of the size of the document?

Today this problem will be solved, several solutions will be considered. Most of the methods mentioned below are possible only in the software shell - "Acrobat DC" from Adobe, which requires installation on a computer. This software is paid, but it is possible to use the trial version for 30 days. But other options will also be considered, that is, without using the "Acrobat DC" software from Adobe.

1. How to reduce pdf file size using online services

If you do not want to download and install anything, there is a great opportunity to compress a PDF file online. Compressing documents online is convenient, reliable and fast. There are many services on the Internet, thanks to which you can reduce the amount of occupied PDF file memory for free. Below are some of them:

1.1. SmallPDF - online service for compressing .pdf

The SmallPDF service (https://smallpdf.com/ru) quite easily and simply reduces the size of a PDF file online. This process is fast and free. Having visited the site, upload a pdf file, the size of which you would like to change. To do this is quite simple: you need to click on the "select file" button. Next, select the desired document using the explorer, or simply drag it with the left mouse button. After that, you need to choose the compression ratio we need and save the result.

Using CutePDF or another PDF converter

You can reduce the size of a PDF file using one of the converters, for example, CutePDF. It allows you to transfer files from any printable format to PDF, as well as change the size of the document, increasing or decreasing the quality of the image and text. When you install this product, a virtual printer is created in the system, which instead of printing documents converts them into a PDF format.

1. Download CutePDF from the official website (free) and install. Do not forget to install the converter with it, otherwise nothing will happen after clicking the “Print” button.

2. Open the file in a program that supports its format and has the ability to print documents. If it is a PDF file, it can be opened in Adobe Reader, and if the file is in doc or docx format, Microsoft Word is suitable. Click on the “File” menu item and select “Print”.

3. When the print settings window opens, select CutePDF Writer from the list of printers.

4. Click on the "Printer Properties" button, in the window that opens, click on the "Advanced" button and select a quality for displaying content. To compress the file to the desired size, select a quality less than the original.

5. Click on the “Print” button and save the file to the desired location. Only PDF is available for saving, regardless of what format the document originally had.

Shrink-PDF (http://shrinkpdf.com/). The principle of file compression is similar to the work of the previously described utilities. This converter allows you to reduce the size of not just one document, but up to 20 times without significant loss in image quality. To start compression, you need to upload files, wait for the download to finish. If you want to change the quality of the document compression manually, use the settings panel. Shrink-PDF is able to resize files of the format “PDF”, “PNG”, “JPEG”.

Using online tools

If you do not want to download and install anything, then you can compress the PDF file in online mode. Compressing and converting documents online is fast and convenient.

1. Find a suitable tool on the Internet, for example, Smallpdf. Unlike other similar online tools, here the user does not have restrictions on the size and number of downloaded documents.

2. Having visited the site, upload the necessary document to it. You can do this by clicking on the caption and selecting a file using Explorer, or by dragging the file with the left mouse button and dropping it in the desired area. You can also add a document from Dropbox or from Google Drive.

3. At the end of the process, click on the button “You can save the file” and select a place for it on your PC. To upload a compressed document to Google Drive or Dropbox, click on the corresponding icon on the right side of the button.

In addition to Smallpdf, there are many other online compressors on the Internet: Compress PDF, Online2pdf, PDFzipper and others. Some allow you to upload files up to 50 MB in size, the second - up to 100 MB, the third have no restrictions at all, but they perform their work at about the same level.

2. PDF convector CutePDF

You can also reduce the PDF file using a convector, for example, CutePDF (http://www.cutepdf.com/). When installing this program, you can translate almost any printable file format / extension to PDF, as well as change the file size to increase or decrease the quality of the text.

After installing this program on a PC, a virtual printer will be created, with the help of which the conversion takes place. It must be downloaded from the official resource and installed.

Consider an example. There is a photo in the "PNG" format, which must be reduced in size and converted to the "PDF" format. We tear off the PNG file, go to print, choosing the printer CutePDF Writer: And confirm the print. After that, a window appears where you should select the folder for saving the PDF file and give it a name. Done. Your file is now in PDF format and much smaller. In Adobe Acrobat

You can also compress a PDF file in Adobe Acrobat DC, but not in the free Adobe Reader.

3. Downsizing by compressing a PDF using archiving

To do this, click the right button of the bear to open the menu for managing this file. Then select “7-Zip”, then indicate the line “Add to (file name)”.

The archive will be created automatically, of a smaller size, in the same folder as the document itself. Also, in this window before archiving it is possible to set the archive parameters, for which you need to select the first line "Add to archive", after which a window will appear in which you can select the necessary parameters. If after archiving you need to immediately send the file by email, the "Compress and send by email" item was created just for this, the archive will immediately move to the input window of the new mail message that you are using.

Another PDF Compression Method in Adobe Acrobat DC

If you have installed Adobe Acrobat and want to compress the document located on your PC, it is much more advisable to use the previous method. The same method can be used when the desired file is uploaded, say, to Google Drive, and you need to download it, simultaneously reducing the size.

1. Go to “Google Drive” from your account, double-click on the PDF file you want to compress, and click on the printer icon to open the print screen.

2. In the window that opens, click on the drop-down list and select the Adobe PDF line.

3. By clicking on the “Properties” button, you will open another window where you need to select the “Paper and print quality” tab, and then click on the “Advanced” button at the bottom of the window.

4. In the drop-down list (see the screenshot below), select the desired document quality, click the "OK" button at the bottom of the window, and then click "OK" in the next two windows.

5. Save the reduced file to your PC.

Using Adobe Acrobat and Microsoft Word

The essence of this method of compressing PDF documents is that you first transfer the file from one format to another, and then do the reverse conversion.

1. Open the document in PDF format via Adobe Acrobat, go to the "File" menu and select "Save As."

2. Click on the “Choose another folder” button, then select the file type “Word Document (* .docx)” and the location to save it. Click on "Save."

3. Having opened the document in Microsoft Word, click on the “File” item and select the “Save as Adobe PDF” sub-item.

4. Click on “Save.”

Using the PDF Optimizer

This method of reducing the size of PDF files is also not without using software from Adobe Systems.

1. Open the document you want to reduce using Adobe Acrobat. Next, go to the “File” menu, click on the line “Save as another” and select “Optimized PDF file” to start the optimizer for PDF documents.

2. In the "PDF Optimization" window that opens, click on the "Estimate Space Usage" button to understand what elements take up space in the file (in bytes and in percent).

3. Having assessed what can be reduced and what it makes no sense to compress, close the window by clicking on the “OK” button and set the necessary compression parameters. To do this, left-click on a particular item in the left part of the window, and change the parameters in the right part.

4. You can delete images, make them from color black and white, compress, change resolution, change built-in fonts, etc. “Having played enough” with the parameters, click on the “OK” button and save the optimized file to the desired directory.

A way to compress PDFs on Mac OS X

PDF documents created by Mac OS X are noticeably larger in size than files with the same content created using Adobe Acrobat. If you are a Mac OS X OS user and want to reduce the size of the PDF file you created, do the following:

  1. Open the TextEdit application, then click on the “File” item in the program menu, and then select “Print”.
  2. In the lower left corner of the window that opens, you will see a button with the name PDF. Click on it, and then on the line “Compress PDF” in the drop-down list. As a result, you get a more compact PDF file.

File archiving

To make the document take up less space on your computer, you can archive it using one of the archivers, for example, 7Zip or WinRAR. Both programs are quite popular, but the first is distributed free of charge, and you will have to pay for using the second beyond the term limited by the trial version.

To compress a document using the 7Zip archiver, right-click on the file, then left-click the manipulator first click on the line 7Zip, and then - on the inscription "Add to" file_name ". Then the archive will be created automatically.

If you want to set certain parameters before archiving, select the line “Add to archive”. Then such a window will open, as in the screenshot below.

Using the archiver, you can significantly reduce the size of the document, as well as create an archive consisting of several files, compressed and combined among themselves. This will greatly facilitate their storage and transmission by e-mail. Only before sending the archived PDF file, make sure that the recipient also has an archiver installed, otherwise it will not be able to open the archive.

Note: Adobe Acrobat and Adobe Reader are not the same thing. Reader is free, but its set of functions for editing PDF files is extremely limited, so you can reduce the size of documents only in Acrobat’s. However, Adobe Acrobat is a paid program. And if you don’t have it and don’t want to buy it, use other options for compressing PDF documents that are not associated with it.

4. Reduce pdf with Adobe Acrobat

Using the PDF optimizer. This method is implemented using the Adobe Acrobat program (https://acrobat.adobe.com/en/ru/acrobat/pdf-reader.html).

1. Open the file you want to compress using Acrobat.

2. Next, go to the file management menu and click on the menu item “Save as another” and select “Optimized PDF file” to open the PDF document optimizer.

3. In the next window "PDF Optimization" you need to select the item "Estimate the use of space" to know which components of the document occupy the majority of the space in the document. To do this, in the upper left part of the window, left-click to select the parameter items, and in the upper right part you need to change the settings themselves. After completing all the necessary settings, the file should be saved.

Leave the default values ​​in the called window. Choose a place to save compressed pdf. The file from the example now weighs 33.3 MB. The compression took about two minutes. Image quality has deteriorated. On a website or computer, this may not be visible. However, after printing, the illustrations will be fuzzy or completely blurry. The downside of the method is that there is no flexible configuration for the advanced user.

There are few settings, but they look difficult to master. We give the main definitions. They are located in the left menu “Images”. Downsampling determines the resolution of images. To optimize, click “Start Compression”. The button is located in the upper center. First you need to set the compression parameters by clicking the “Compression Settings” button.

After opening the settings menu, you will be notified of the purchase of a license. It is needed to fine-tune compression. Click “Continue”, in the “Compression” and “Optimization” tabs, check the boxes. Close the window and click “Start Compression”.

In the process of compression, the weight of the textbook from the example decreased from 69.9 MB to 56.9 MB. Compare the quality. On the left - the document before optimization, on the right - after.

The result is worse than that of Adobe Acrobat Reader. Now in the compressed file, distortions are noticeable. The advantage of the program is that you can compress the file absolutely free. As a result - worse quality and larger size. The utility logo is also added to the first page.

Using WinRAR

WinRAR is a free program with the ability to purchase a license. Designed for archiving files and their subsequent compression. The quality does not change. You can extract the original from the archive at any time.

The utility workspace shows the file system of your computer. Select the folder to create the archive. Click on “Add”. The button is located in the upper left corner. Before us is the archive settings menu.

Удобным решением являются веб-сервисы по работе с pdf-файлами. ILovePdf может не только редактировать содержимое файла, но и уменьшать его размер.

Начинаем работу с нажатия большой красной кнопки “Выбрать PDF файлы”. Откроется проводник, где мы укажем путь к pdf-документу.

После выбора снизу появятся настройки компрессии. В комментариях они не нуждаются. Оставим рекомендуемые параметры. В самом низу находится кнопка “Сжать PDF”. Нажмём на неё.

Click on the big red button. You do not need to click anything to reduce the size of the pdf file. It occurs immediately after loading. Then download the document by clicking on the “Download file” button.

From the service, the document can be sent to Google Drive or DropBox (adjacent buttons). The illustration shows the volume of the compressed document. File size has changed from 69.9 MB to 59.2 MB. Somewhat more than the previous service. Check the quality. On the left is a compressed pdf, on the right is the original.

SmallPdf was able to compress the file with virtually no loss of quality. The disadvantage of the service is the lack of compression settings.

In concluding, archivers do not work well with PDF documents, and the best compression method is online services and the standard Adobe tool.
